Operations Lead
We're looking for an Operations Lead to join the Runyon team in Brooklyn, NY. The person who fills this role would be the glue for our studio, leading the operational processes, systems and tasks that support the team and the business. They will work to optimize the internal systems to create even stronger foundations and processes for our Partnerships, Projects and Team Members.This is a multifaceted role that requires general and people operational expertise, and an understanding of business financials with acumen in creative teams and project management.
A great candidate would be adaptive, collaborative, approachable and organized, with a desire to continuously create even better solutions to ensure that the business and its team are set up for success. They would excel in general operations, have strong interpersonal skills that enable them to lead new and existing employees through recruiting, onboarding, and team integration, and have an understanding and know-how in business financial reports and practices. This role would collaborate with Runyon Leadership.

Qualifications
5-10 years of management experience in general and/or people operations, project management and/or office management. Experience in creative, digital, product design, consulting and/or agency space is preferred.
Excellent communication and interpersonal skills, both written and verbal.
Highly organized and detail oriented, with an ability to create processes to better support a team.
Demonstrated self-starter with the ability to prioritize, manage and execute multiple parallel work streams at the same time.
Strongly desired: Basic (or proficient) knowledge of business finances and budgeting for the purposes of strategic planning.
Responsibilities
Business Operations
Setting up the team with the tools to deliver their best work [Tech + Tools]:
Ordering new equipment and technology, managing existing inventory and proposing team/individual budgets
Managing and updating accounts/subscriptions, including the onboarding/off-boarding of team member access on Runyon platforms and services
Creating a welcoming, effective and efficient work environment [Physical Spaces]:
Collaborating with team members to create the ideal work space, both in studio and at home
Managing vendors, lease contracts, renewals and terminations, and communicating with relevant vendors on day-to-day operational matters
Ensuring office cleaning, ordering office supplies, and managing deliveries and mail
Leading an exploration and selection of a new physical HQ location that is remote-friendly and supports our upcoming hiring plans (target 4Q2022/1Q2023)
Supporting project teams and Partner relationships [Project operations]:
Coordinating space, materials and catering for key internal team and key external partnership moments (e.g. Kickoffs, Final Shares)
Maintaining and coordinating research participants contracts and payments
Confirming time scheduling is updated and individual time tracking is submitted
Providing input on team planning and resourcing decisions
Reviewing and renewing our business insurance every year, as well as submitting for Certificates of Insurance (COI) for client relationships [Business Insurance]
Preferred: Coordinating the financial operations [Finances]:
Supporting the procurement process for client partners and setting up vendor contracts and processing payments
Managing and approving expense and reimbursement reports and collaborating with our accountants to ensure they have what they need to close each month and year
People Operations
Creating a supportive, diverse and inclusive employee experience [HR+ Payroll]:
Drafting and updating employment documents in partnership with our lawyers (e.g. NDA, Offer Letter, Freelance Contract)
Ensuring full-time team members are set up with payroll + benefits, and managing any payroll updates or changes
Managing and improving Runyon’s benefits and policies so we are offering great support for our team
Ensuring we are HR compliant as a team and as a business
Onboarding/Offboarding Runyon team members [Onboarding]:
Setting up new team members for success (e.g. equipment, first week scheduling, ongoing resource)
Collecting feedback and improving the onboarding experience, from before their first day through the first 90 days
Offboarding full-time and contractor team members (e.g. Deactivating accounts, collecting materials, exit interviews)
Leading recruiting efforts to build out the team [Recruiting]:
Creating job descriptions and sourcing candidates from various networks
Finding opportunities to optimize for an efficient process and attract top-tier talent on an ongoing basis
Managing the recruiting pipeline, inclusive of candidate communications, interviewing, tracking statuses, gathering feedback and leading internal decision making moments
Drafting and sending out offers and contracts
Collaborating with leadership to design a hiring plan, based on the capacity and creative needs of the business
